When is it worth changing VMS at all?

Not as often as vendors suggest. If your current system is embedded in working finance and procurement processes and your hiring managers use it unprompted, the disruption is not worth it. The honest trigger for a change is when the people raising requests route around the system — because a VMS that is bypassed produces no data, and without data there are no savings to find.

What should you actually compare when evaluating a VMS?

Four things that are hard to reverse: whether an occasional user can complete a request unaided, where your data is hosted and who can access it, how integrations are owned and maintained, and what the total cost looks like as your spend grows rather than at signature. Feature checklists rarely separate vendors; these four do.

How long does a VMS implementation take?

The technical setup is rarely the constraint. Time goes into agreeing approval hierarchies and spend policy across procurement, HR and finance, re-papering supplier agreements if they are changing, and running in parallel until in-flight engagements close. Ask any vendor for the elapsed time to first live request, not the configuration time.

Does European data residency matter for a VMS?

It matters if your consultant records contain personal data of EU-based workers, which they almost always do. The questions worth asking are where data is stored at rest, which sub-processors touch it, whether support access crosses a border, and whether your content is used to train models.
