How Fill uses AI

Fill uses AI to save buyers, suppliers and Fill's own team time on routine work: drafting texts, filling in forms, answering questions and preparing suggestions. This page describes how we use AI, what data it uses and who decides. It is part of our Privacy and data policy.

Our principles
  • People decide
AI drafts and suggests. A person at Fill, at the customer or at the supplier decides anything that affects a consultant, a supplier or a request.
  • Only what the task needs
Each feature sends the AI only the data its task needs.
  • Processed in the EU
We only use AI providers that process Fill's data in the EU.
  • No training on your data
Fill does not train AI models on data from customers, suppliers or consultants, and our AI providers may not use it to train theirs.
  • Open about it
This page describes the kinds of tasks AI does on Fill. Before AI takes on a new kind of task, or uses a new kind of personal data, we update this page.
What AI does on Fill

AI on Fill does four kinds of tasks. For each one we say what the AI does, what data it receives and who decides. The examples are features that use it today.

  • Drafting and shortening text
AI drafts or shortens texts, for example job descriptions, interview questions, the criteria candidates are assessed against, and assignment descriptions in contracts. It receives the text the task is about, such as the buyer's own words or a role description, and no CVs. When a buyer drafts a job description, Fill's team gets a copy to check quality. A person checks and edits every draft before it is used.
  • Reading documents to fill in forms
AI reads a document that someone uploads, for example a consultant's CV, and fills in a form from it, such as name, contact details, city, languages and a short description. It receives the full text of the document. The person who uploaded it checks and edits every field before submitting.
  • Suggestions
AI suggests options for a person to choose from, for example which of a buyer's suppliers to invite to a request. It receives the request and company information, no consultant data. The person who sees the suggestion decides.
  • Answering questions
Customers who switch on the AI assistant can ask it questions. It searches only the requests, assignments and consultants the user can already see, and can draft a new request. It can receive consultants' names and profile details. The user decides what to do with the answer.
Providers and where data is processed

Fill's AI features use AI models from established providers, run through cloud services in the EU. Which provider handles a task can depend on the customer's setup. Each AI provider, where it processes data and how long it may keep it, is listed on our sub-processor list.

Retention and training

Our AI providers process data to return an answer and may not use it to train their models. Some providers may keep prompts and answers for a short time to detect abuse of their service; the sub-processor list says which and for how long. Fill keeps the input and result of each AI task with the request or candidate it belongs to and deletes them with it, as described in our Privacy and data policy. Fill uses ready-trained models and does not train or fine-tune them on anyone's data.

People decide, and AI can be wrong

No decision about a consultant is made by AI alone. Buyers decide whom to interview and engage, and Fill's team decides what it presents to buyers. AI output can be incomplete or wrong, so every AI result on Fill can be checked and edited before it is used. Report a wrong or unfair result to legal@fill.work.

EU AI Act

Fill assesses each AI feature against the EU AI Act before release, including whether it counts as high-risk, and keeps it under review.

Objecting to the use of AI

A consultant can object to Fill's use of AI on their data by writing to legal@fill.work. Fill then handles that consultant's data without AI, unless we have compelling legitimate grounds that override their interests, rights and freedoms.

What we ask of customers and suppliers

Check AI output before relying on it. Enter accurate information, since AI works from what it is given. Suppliers tell the consultants they put forward about this page and our Privacy and data policy. Report anything that looks wrong or unfair.
